Reservations & Payments

 

Reserving your date—upon verbally booking a date, your verbal agreement is valid for 7 days.  We regret that if we do not receive your deposit within 7 days, you will forfeit that date.

 

Deposit and Payment—the non-refundable, non-transferable room deposit is required when we receive a firm booking to secure your date.  The deposit on the main banquet room is $500.00, conference room is $250.00, and foyer is $100.00.

 

An estimated count on number of guests and 50% of your total bill is due 30 days prior to your event.  Failure to pay 50% forfeits your date and gives Roseburg the right to schedule another event for that date.  Final guest count is due 7 days prior to the event.  Final settlement of your account is due within 7 days following your event. Unless you have made prior arrangements, failure to pay balance in full within 7 days following your event will result in late fees penalties of $100 per day until balance is paid in full.

 

Indiana Sales tax of 7% and gratuity of 18% will be added to final bill.

 

Payment may be made with cash, personal check, money order or credit card.  A $35.00 fee will be charged for any returned checks.

 

 

Room Rental

 

Room rental includes tables & chairs, tablecloths, napkins, table service, additional tables for display, registration, buffet, cake, gift, etc. as needed, buffet monitoring and serving, staffing, set-up and clean-up.  Linen colors: black, white and ivory

 

Room Rental covers a four hour event. Additional time may be added for $150/hour.

 

Sunday bookings are not preferred but will be considered on an individual basis

 

Nonprofit organizations may receive room rental at a discounted rate of ½ room rental total. Proof of nonprofit status must be on file to receive discounted rate

 

$300.00 Additional Room Rental fee for Wedding Ceremony. The $300.00 additional fee for holding your wedding ceremony at Roseburg includes the following:

 

1. One additional hour for the wedding ceremony.

2. Availability of the Event Center for your wedding rehearsal the day prior to your event or as scheduled.

3. Two hours of additional time prior to the ceremony for pictures.

4. Dressing rooms, if needed, for the wedding party.

 

The foyer/entry area will not be rented out separately when an event is taking place in the main banquet room.  It will be available for your guests to enter and is included in your rental fee.

 

Portable dance floor (21’ x 21’) can be placed at any location in the room at your discretion.  The dance floor can be configured in 3 foot increments.  For example:  15’ x 27’ works well in front of the stage.  Dance floor rental and installation fee is $50.00.

 

 

Catering

 

The Roseburg Event Center will handle all catering needs for events.  No outside food or beverages will be allowed with the exception of the wedding cake.  We can provide meals served at your table or a buffet style setting as well as other options for open houses etc.  Our menu selections are priced accordingly.  Prices are subject to change depending on market prices and date of event.

 

Menu selections will be provided with a wide range of options and choices.  We can also customize your menu to suit your tastes.  Please let us know if you have specific needs or requests. Roseburg will not be responsible for the request of food items that are raw or undercooked, as they may increase your risk for food borne illness. This includes but not limited to, undercooked meat, poultry, seafood, shellfish, or eggs.

 

Due to safe food handling guidelines, excess food is not allowed to be taken off the premises.

 

Alcohol – Roseburg has a full liquor license, licensed bartenders and will provide all alcohol for your event upon request.  There is a $50.00 fee for bar set-up. Absolutely NO alcohol can be brought into the facility by clients or their guests. Bringing alcohol into the building or on the grounds is strictly prohibited by Indiana Law. Any alcohol brought in from the outside will forfeit your $500 deposit and you will be charged an additional $500. Anyone under the age of 21 will not be served.  ID will be required.  Roseburg reserves the right to refuse service and violators may be asked to leave. Please drink responsibly.

 

Sound & Equipment

 

Audio/Visual capabilities for meetings, presentations, etc. are available in all rooms.  Sound technician fee is $30.00 per hour. Microphones, Screens, Projectors, Laptop, Wireless Internet, podium may be rented to meet your audio and visual needs. You may use an independent DJ who would provide all equipment and music necessary for your event. Independent DJs and sound technicians are not permitted to use our equipment.

A drop down screen is available at the rear of the stage for slideshow or DVD presentations.  There is no additional charge for using the screen.

Decorations

 

You are free to do your own decorating or the Roseburg Event Center decorating staff can offer you a complete decorating package. Allow the friendly and talented staff to personally decorate for your event. Schedule an appointment today to see what the decorating staff has to offer. Please see the decorating tab at the top for additional information.

 

If you choose to do your own decorating, it is to be completed on the day of the event.  If scheduling allows for decorating the day prior to your event, we will contact you.  We request that decorating be done during regular business hours unless prior arrangements are made.

 

Please consider the following when decorating:

1. No open flames.  Candles must be in containers.

2. Artificial flower petals are preferred.  Live petals stain tablecloths and carpet.

3. Nothing can be tacked or taped to walls or wood surfaces.

4. Pipe cleaners should be used to attach decorations to stairway or hallway railing.  (no wires please)

5. No crayons, markers, pens, etc. on tables.

6. No glitter.

7. We reserve the right to charge a replacement fee for damages to tablecloths, decorations, etc.
